MUST HAVE A MINIMUM OF TWO EVENTS EXHIBITS OR OPERATE ON A CONTINUAL BASIS AND MUST BE ABLE TO SHOW SOME ROOM NIGHTS FOR THE EVENT SEASON MOST RECENT TO THE CURRENT APPLICATION PERIOD. JUST SOME FINANCIAL NUMBERS ON HOW WE SPLIT THE MONEY UP. GROUP 1, BECAUSE THEY ARE TYPICALLY THE ONES WHO PRODUCE THE MOST ROOM NIGHTS, GETS THE LION'S SHARE OF THE FUNDING. THEY GET 6 A% OF THE 135,000. COMES OUT TO 87,750 AS YOU SEE THERE. GROUP 2 RECEIVES 35% OF THE 135,000. SO 47,250. AND WITHIN THOSE TWO GROUPS -- WITHIN EACH GROUP 70% OF THE AVAILABLE FUNDS ARE EVENLY DISTRIBUTED BY FOUR MARKERS. RIGHT? DID THEY ATTEND A WORKSHOP? DID THEY TURN IN ALL THE DOCUMENTS THAT THEY'RE SUPPOSED TO? IS THE DOCUMENTATION CLEAR AND PROFESSIONAL? AND DID THEY USE THEIR HOT FUNDS IF THEY WERE AWARDED IN THE YEAR BEFORE? AND WORKING WITH THE COMMITTEE HOT FUND AWARDS SUBCOMMITTEE, EXCUSE ME, IN THE MEETING WE DECIDED TO RECOMMEND TO COUNCIL TONIGHT 11 AWARDEES. AND HERE'SHERE'S WHY. USUALLY BETWEEN NUMBER 10 AND 11 IT'S BEEN 30- PLUS ROOM NIGHTS. THE MARGIN IS VERY WIDE. NUMBER 10, THE VIVA TEXAS FILM FESTIVAL, HAD 19 ROOM NIGHTS. NUMBER 11, THE VICTORIA COUNTY 4H CLUB, HAD 18. THAT'S THE FIRST TIME WE'VE EVER HAD A MARGIN THAT SMALL AND THE SMALLEST MARGIN YOU CAN HAVE, RIGHT? THEY WERE ALSO THE ONLY AWARDEE IN GROUP 1 THAT WAS -- WE ONLY HAD 11 APPLICANTS IN GROUP 1. THE SUBCOMMITTEE AGREED THAT WE COULD IN THIS INSTANCE MAKE AN EXCEPTION AND AWARD THE VICTORIA COUNTY 4-H. YOU CAN SEE THAT WHILE THE NUMBERS DON'T EXACTLY LINE UP WITH THE ROOM NIGHTS TEXAS CLASH SOME POINTS BECAUSE THEY DID NOT HAVE THEIR EVENT LAST YEAR. THEY DID RECEIVE A HOT FUND AWARD BUT THEY DID NOT HAVE THEIR EVENT. THAT'S A CHANGE WE'RE GOING TO MAKE FOR GOING INTO NEXT YEAR. WE'RE GOING TO ACTUALLY BE MORE PUNITIVE WITH THAT WHEREAS IF THEY DON'T HAVE THEIR EVENT THEY'RE NOT ELIGIBLE TO APPLY THE NEXT YEAR. WHY DO WE DO THAT? BECAUSE THAT'S MONEY THAT COULD HAVE BEEN GIVEN TO ANOTHER EVENT, THAT APPLICANT THAT HAD THEIR EVENT. RIGHT? BECAUSE WHEN THAT MONEY IS NOT USED IT GOES BACK TO THE HOT FUNDS POOL. YOU KNOW, THE HOTEL/MOTEL TAX FUND. IT'S NOT DISTRIBUTED AMONG THE OTHER AWARDEES. SO THAT WAS THE RECOMMENDATION FROM THE SUBCOMMITTEE. YOU CAN SEE WE HAD A FEW FOLKS ON THERE WHO REACHED THEIR MAX AMOUNT THEY PUT ON THEIR APPLICATION. THE HOT ROAD TOUR OF TEXAS, NF PROMOTIONS WHICH IS A BRIDAL AND QUINCE EXPO. AND THE VIVA TEXAS FILM FESTIVAL DID REACH THEIR MAX THROUGH THE CALCULATOR WHICH THEN THOSE ADDITIONAL FUNDS ARE DISTRIBUTED AMONG THE OTHER APPLICANTS. IN GROUP 2 WE HAD THE USUAL SUSPECTS FROM OUR NON- PROFIT ARTS AND HISTORIC PRESERVATION. YOU CAN SEE THE MUSEUM OF THE COASTAL BEND WAS OUR TOP AWARDEE. FOLLOWED BY THE VICTORIA BACH FESTIVAL, THE VICTORIA REGIONAL MUSEUM ASSOCIATION, THE VICTORIA PRESERVATION, THE VICTORIA BALLET THEATER AND THE VICTORIA SYMPHONY. AND YOU CAN SEE THOSE NUMBERS RANGED FROM 12,086 FOR [00:40:01] THE MUSEUM OF THE COASTAL BEND TO 5,090 FOR THE VICTORIA SYMPHONY. WE HAD AN APPEALS PROCESS. ALL APPLICANTS WERE NOTIFIED OF THEIR RECOMMENDED AWARD ON SEPTEMBER 2ND. APPLICANTS WERE GIVEN THE OPPORTUNITY TO APPEAL. NO OFFICIAL APPEALS WERE RECEIVED BY THE DEADLINE OF NOON ON SEPTEMBER 4TH. I ALSO PERSONALLY RECEIVED NO INFORMAL COMPLAINTS OR ANYTHING LIKE THAT. ABOUT THE RECOMMENDED AWARDS. AND THAT'S BEEN SOMETHING THAT WE'VE SEEN FOR THE LAST FEW YEARS. WE HAVEN'T BEEN SEEING APPEALS OR ANYTHING LIKE THAT SUBMITTED AFTER WE SEND OUT THOSE NOTIFICATION LETTERS. AFTER THE RESOLUTION IF APPROVED THE CVB AND LEGAL DEPARTMENT STAFF WILL WORK ON FORMULATING THE CONTRACTS, ISSUING THAT TO THE AWARDEES. IT WILL BE SIGNED BY AN ORGANIZATION REPRESENTATIVE AND THE CITY MANAGER. AND OF COURSE LIKE THE CAR SEAT PROGRAM IT'S A REIMBURSEMENT-BASED PROGRAM. SO THEY WILL GET THEIR MONEY AFTER THEY SUBMIT THEIR POST-EVENT REPORT DOCUMENTATION. SO WE HAVE 135,000 BETWEEN 18 TOTAL AWARDS. GROUP 1, 11 AWARDS. GROUP 2, SEVEN AWARDS. AND I WOULD LIKE TO NOTE ONE THING THAT CAME OUT OF THE SUBCOMMITTEE MEETING WAS THAT THEY HAVE A STRONG DESIRE TO HOLD A WORKSHOP OR WORKSHOPS IN THE COMING MONTHS TO ADDRESS MAKING SLIGHT REVISIONS TO THE PROGRAM.
